Panhellenic Exec Application

Panhellenic Exec Applications will open on October 1, 2019.

Panhellenic Executive Council Positions available for application:

The Vice President shall: 1. Perform the duties of the president in her absence, inability to serve, or at her call. 2. Serve as chair of the Panhellenic Judicial Board. 3. Be responsible for planning an event for new members. 4. Reserve all rooms for Regular and Special Panhellenic meetings. 5. Be responsible for extension and new chapter support if the need arises. 6. Be responsible for risk management training for the council. 7. Be responsible for the planning of officer transitions. 8. Sign College Panhellenic Association contracts when authorized to do so. 9. Be responsible for planning the Panhellenic retreat. (8) Move into position of President upon approval of delegates with officer selection the following year. (9) Perform all other duties usually pertaining to this office.

The Assistant Vice President of Recruitment shall: 1. Observe and assist the Vice President of Recruitment in all activities pertaining to recruitment. 2. Work with Vice President of Philanthropy and Service to plan expectations and introduction into Panhellenic for newly pledged members in the fall semester. This includes the planning and execution of the Potential New Member Barbeque as well as information regarding the Circle of Sisterhood organization. 3. Responsible for the planning and execution of Bid Day at the end of the primary recruitment process. 4. Responsible for being present and taking minutes at all Vice President of Recruitment and various recruitment meetings. 5. Determine recruitment registration fee with Vice President of Recruitment and Vice President of Finance. 6. Be available and responsive during summer months to coordinate with the Panhellenic Advisor, Vice President of Recruitment, Vice President of Recruitment Counselors and Potential New Members concerning officer duties regarding primary recruitment. 7. Move into position of Vice President of Recruitment upon approval of delegates with officer selection the following year. 8. Perform all other duties usually pertaining to this office.

The Vice President of Recruitment Counselors shall: 1. Responsible for all responsibilities with recruitment counselors. 2. Responsible for planning and overseeing interviews and selection of recruitment counselors with the help of the rest of Panhellenic Exec. 3. Coordinate development and execution of all recruitment counselor merchandise. All merchandise must be approved through the budget process by the Vice President of Finance. 4. Responsible for training of recruitment counselors in conjunction with the Vice President Recruitment, Assistant Vice President Recruitment and Fraternity and Sorority Life Staff. 5. Call and preside all recruitment counselor meetings. 6. Serve as liaison between the recruitment counselors and Panhellenic. 7. Perform all other duties usually pertaining to this office

The Vice President of Public Relations shall: 1. Maintain relations and correspondence with the campus and community. 2. Update and maintain council website. 3. Promote and support all Panhellenic events. 4. Be responsible for updating Panhellenic Council social media accounts weekly.. 5. Be responsible for the design and creation of semester recaps. 6. Be responsible for monthly newsletter Panhellenic updates. 7. Support the all-Greek newsletter which will reach various stakeholders such as students, alumni, and parents.

The Vice President of Membership and Programs shall: 1. Plan and host programs for Panhellenic women. 2. Plan and host at least one Panhellenic-wide educational program per semester 3. Provide support to Panhellenic chapters who are planning educational speakers and programs. 4. Work with the Vice President of Public Relations to plan Panhellenic Pride Week in the fall. 5. Organize academic programming and recognition. 6. Perform all other duties usually pertaining to this office.

The Vice President of Philanthropy and Service shall: 1. Be responsible for all philanthropic efforts including the philanthropy of Clemson College College Panhellenic Association. 2. Organize and promote any Circle of Sisterhood Treks. 3. Work on initiatives to bring more awareness to the Panhellenic philanthropy, Circle of Sisterhood. 4. Organize local service opportunities for Panhellenic. (5) Perform all other duties usually pertaining to this office.

The Vice President of Finance & Administration shall: 1. Be responsible for the general supervision of the finances of the College Panhellenic Association at Clemson University. 2. Be responsible for the Panhellenic Council Operating budget, Panhellenic Recruitment budget, and Circle of Sisterhood Budget and be listed as authorized signer on all accounts. 3. Be responsible for the preparation of the semester/bi-annual budget. Following its approval by the Panhellenic Council, responsible for providing a copy of it to each member of the College Panhellenic Association at Clemson University. 4. Be responsible for the finance laptop and QuickBooks software. 5. Receive all payments due to the College Panhellenic Association at Clemson, including but not limited to dues and payments related to recruitment. 6. Be responsible for the prompt payment of all bills of the College Panhellenic Association at Clemson, and Panhellenic Recruitment at Clemson University. 7. Determine recruitment registration fee with Vice President of Recruitment and Assistant Vice President of Recruitment and Fraternity and Sorority Life staff. 8. Maintain up-to-date financial records; give a financial report periodically, give projected budget to Panhellenic Council at beginning of each semester, have financial reports available upon request, and provide annual report at the close of each term of office. 9. Provide appropriate information and completed annual report to Panhellenic Advisor and outgoing Panhellenic President to perform annual audit of the association's financial records. 10. Redact and upload all bank statements to TigerQuest each month. 11. Keep up-to-date roll of the members of the Panhellenic Council and call it at all council meetings. In addition, keep track of all excused and unexcused absences and refer excess absences to the Executive Board. 12. Keep full minutes of all meetings of the College Panhellenic Association, the Panhellenic Council and a record of all the action taken the executive board. Minutes should be approved by Panhellenic advisor and distributed no later than the Friday following each Panhellenic meeting to the appropriate recipients. 13. Be responsible for correspondence of all regular and special Panhellenic meetings, as well as prepare visual presentation. 14. Maintain a complete and up-to-date file, which will include the minutes of the meetings of the College Panhellenic Association at Clemson University and its Panhellenic Council; and current correspondence.
